Email

The Email form is used to manage the email templates. Email templates are used to send emails to customer, prosepct, appointments, etc. The email templates can contain merge codes, depending on the source. For example, and Appointment email might have a merge code for the appointment date/time. A customer email would not. Email templates can be set up ahead of time and used as needed. To create a new email template

  1. Click the Add button
  2. Select the correct source (customer, prospect, etc.)
  3. Enter a description and subject for the email.
  4. Click Save.
  5. Click Edit Email.

You will be prompted for a template to base this new email on. You can select * Existing email: This will let you copy an existing email to this email. It's useful when the new template is similar to an exsiting one. * HTML file: You can select an HTML file from your computer. This is used if you have already created an email in another program and saved it to the computer. * No template: Used if you want to start from scratch.

To edit an existing template, select the template and click Edit Email.

Description...The description is shown when you are prompted for a template to use.
Subject..The subject of the email.
Preview..Displays a preview of what the email will look like.
Edit Email..Opens the HTML Editor to edit the email.

Notes

Graphics for HTML pages are stored on internet web servers. Web servers include the server that hosts a bridal shop's web-site and also include servers from services like Shutterfly, Google Picasa and many others (many free, some paid). Any that allow you to link to a stored image will work within the eMail document created from the ProfitSystem HTML editor.

In versions up to ProfitSystem v9, a letter could be a HTML file. In v10 and after this is not suggested. The type of those Letters should be changed from Letter to eMail. Once done, click Edit, the program will copy the HTML file from the hard drive into the eMail table and store it internal HTML page. If will then rename the HTML file on the hard drive by adding .BAK to the filename. (TrunkShow.HTML becomes TrunkShow.HTML.BAK) Also, the field 'File' is cleared on the Letters record so it's not confusing.
