Electronic Payment Overview
Electronic Payment Overview
ProfitSystem® offers the ability to directly integrate to your bank’s credit card processor which saves time, reduces employee training and improves customer service. It eliminates the need for stand alone credit card terminal. ProfitSystem® credit card integration works with your existing bank (however, BBL can help improve your credit card processor rate. Contact BBL for more information).
ProfitSystem does not require the integration of Electronic Payments to track Credit / Debit card tender. Charges may be processed externally to ProfitSystem then manually entered into it's payment form.
Integrated payment processing significantly speeds the process of taking payments and allows concurrent processing of payments in a multi-user installation. Plus there are numerous other benefits of integrated payment processing - see chart below.
With integrated or non-integrated payment processing, the Profitsystem can be configured to print defined Charge Terms on a receipt for the customer to approve which helps protect the shop against charge backs. These terms are created in the Document Terms module.
The integration will allow a operator to swipe or manually enter a credit card's information, i.e. account number, expiration, name ..etc. Then using our gateway processing software ProfitSystem® will automatically acquire an approval code via a modem or the internet. Finally, it will automatically print a detailed receipt including a signature block for the user to sign authorizing the credit card charge.
In multi-user environments credit card integration can be utilized to allow each station to concurrently process credit cards.
Security concerns exists when credit card numbers are stored electronically.
ProfitSystem does NOT store customer credit card info directly, thus making it compatible with regulations.
However, thru the use of BBL's gateway processing solutions, ProfitSystem can store customer credit card info for later use. The credit card information is actually stored in the Gateway Processing software which is a Visa/Mastercard CISP, PABP and PCI DSS compliant software/network environment.
Saved credit cards are useful for add-on charges and payment plans.
ProfitSystem offers multi-electronic payment options. The one you choose depends on how the payments are accepted and the level of PCI compliance you require,.
Gravity Payments (previously ChargeItPro) is BBL processing partner. By processing charges with Gravity, a shop can:
- Swipe credit and debit
- EMV/Chip and Pin credit and debit
- Apple Pay
- Google pay
- Digital signature via terminals
- Customer Payment Plans
- Tokenize credit cards for add-on sales
Alert Messages
This payment WAS NOT processed through your credit card processor. Use Force to make sure the cancel/adjust is processed as well.
This informational/alert message popped up because a user was trying to adjust a credit card payment that does not contain an approval code and credit card integration is active. This could be a error situation, so investigation is warranted.
The system expects a approval code to be present for a CC payment that was successfully processed via the integration, so without the approval code being present the ASSUMPTION is the card was NOT processed normally via the integration. Or that someone manually removed the approval code after it was processed. The message is suggesting that a payment adjustment to this payment charge transaction should be processed in the same method that the original charge was processed.
A great policy would be to check the payment gateway to see if the original payment transaction appears. If not you may wish to check with your Processor to insure the charge has been accepted at all. If there s a record of the charge the payment adjustment may be processed via the ProfitSystem normally by allowing the negative adjustment to go thru the payment gateway. If there is no record of the original charge transaction with the processing gateway or Processor, then this is a error situation and the charge must be captured by deleting this payment line item and contacting the customer to capture a new payment transaction. The customer should be contacted to alert them to the error and to provide a card number for the new charge.
