ProfitSystem provides the ability to sent Email to customers & prospects directly. Emails may be in the form of plain text using the ProfitSystem integrated word processor or a HTML message via the ProfitSystem integrated HTML editor. Text Emails & HTML documents may be created and saved in Housekeeping->Letters/Tags/Mailing Labels. ProfitSystem presents a list of saved documents and the user selects the one to send. ProfitSystem will display plain text emails to the user where the customer's personal info may be inserted as well as the option to edit the text prior to sending. With HTML formatted documents, once the user selects the desired one ProfitSystem auto sends it.
ProfitSystem must be configured to send emails. This is done via Housekeeping->General Setup-> Stores-> Option Tab-> Email
Email can be sent from the following ProfitSystem Forms: * To Groom or Bride contact on an appointment, by using the print button on the appointment form. * To a customer by using the print button on the customer form * From the pickup notification form, using the print button. * To either the bride or groom on a prospect, by using the print button on the prospect form. * Emails can be sent in bulk from the Marketing form as part of a query. * Receipts may be Emailed * Purchase Orders may be Emailed to the manufacturer * Emails can be sent automatically* based on specific events, such as a new prospect being registered. Email Logging
Every email that is sent is copied to the Emails folder, located in the Livedata folder. A to-do is created for the recipient of the email (customer, prospect, or appointment) and the email is linked to that to-do so it can be reviewed later.
The file is named [A, C, or P][id]-[code].HTML. The first letter is either A for an appointment, C for customer, or P for prospect. The [id] is the customer, prospect, or appointment id. The [code] is a unique 9 digit code. If there was a PDF attachment, such as a a receipt, it is saved as well, named the same as the email with a .PDF extension. This attachment can also be viewed via the to-do.
