Inventory

Smart Link can download up-to-date styles, size charts, and color charts from supported vendors. Smart Link is enabled for a vendor if the Smart Link username and password are entered on the Integration tab of the Vendor form. If a vendor supports Smart Link, they will provide a user name and password to the shop.

Importing Inventory with Smart Link

Select a vendor from the drop down list. Only vendors with a Smart Link username on the Vendor form will appear in the list.
- When a vendor is selected, the date of the last download is shown to the right of the vendor name.
- The Reset all size/color charts? option will cause all size and color charts linked to imported styles to be set back to the vendor provided values. If size or color charts have been modified directly in the ProfitSystem, this will reset them back to the vendor values. This would be used if the charts have been be incorrectly modified in the ProfitSystem, or if the vendor has updated the charts. If this is not checked, then only new size/color charts will be downloaded.
- The Update images for styles already on-file? option will cause all images for the imported styles to be removed, and the vendor provided images re-downloaded.
Click Get Inventory. This will connect and retrieve all of inventory from the vendor.
The size and color charts for the vendor will be downloaded and installed in the ProfitSystem.
The grid will be filled with the inventory from the vendor.
- The Status column will show New if this style does not appear in the shop inventory. It will show On file if the style is already in the shop inventory.
Click on the checkbox in the Import? column to select which styles will be added to the shop inventory.
- Select all styles...Checks the Import? checkbox for all styles in the grid.
- Select styles not carried...Checks only the New styles.
- Find vendor style...Type a vendor style to locate it in the grid.
Click Import.
If any styles are imported that are already on file, it will prompt 'Overwrite existing images with latest images from the vendor for styles already imported?' Answer No if the images in the ProfitSystem must be retained. Answer Yes if the images in the ProfitSystem should be replaced with the images from the vendor.
If the category specified by the vendor (BRIDESMAID or BRIDAL) does not appear in the shop categories, you will be prompted for the category and accounting class to use during import.
The checked styles are added to the inventory.

Notes

When Get Inventory is clicked, the download process can take a few minutes if the vendor has an extensive catalog.

Vendor size and color charts are automatically added to the ProfitSystem when Get New Inventory or Get All Inventory is clicked.
* The size and color charts are named as follows: [vendor supplied chart name]-[SmartLink Provider code]. For example, if the SmartLink Provider is Dessy, the code is DSY. So if the size chart is called D01, then the size chart in the ProfitSystem will be called D01-DSY.

If the vendor supplies an image URL, then the image is automatically downloaded from the internet and added to the inventory record. It will then appear on the Images tab of the Retail Inventory form. Some vendors supply a back image as well, this image is downloaded and installed as well.

When a style that is already On file is imported, the Size chart, Color chart, Color chart 2, Image URL, reorder cost, modified flag are replaced. The Retail 1 price is recomputed using the retail factor and retail factor plus from the inventory category. If the new Retail 1 price is lower than the existing price, then the existing Retail 1 price is retained. Otherwise, the Retail 1 price is updated. The existing style is otherwise unchanged.

The Modified flag is set when importing New or On file styles. This allows garment tags to be printed for the imported styles using the Print Tags function.

If a New style is imported, the fields are set as follows:

Store style number is auto-generated.
Retail factor and Retail factor plus are set using the inventory category of the style.
Vendor style from Smart Link
Discontinued date from Smart Link
Description from Smart Link
Stocked? is set to Yes
Reorder cost from Smart Link
Retail 1 price is computed as Reorder cost * Retail factor % + Retail factor plus Inventory category is set to category from Smart Link, if the Smart Link category matches an existing one exactly. Otherwise, the user is prompted for the category.
Accounting class is set to category from Smart Link, if the Smart Link category matches an existing accounting class exactly. Otherwise, the user is prompted for the accounting class..
Store id is set to the current store
Size chart, color charts 1-4, and color names 1-4 are set from Smart Link.
Image URL is set from Smart Link
Primary image and alternate image are downloaded and added to the style.
Modified is set to yes.
Store group is set to the store group for the current store.
No actual inventory is received, the QOH remains at zero and no Receive History records are created.

If an existing styles is imported, the following occurs:

Size chart, color charts 1-4, and color names 1-4 are set from Smart Link.
If Update images for styles already on-file? is checked, the existing images are deleted and the current images are downloaded from Smart Link.
Image URL is set from Smart Link
The reorder cost is set from Smart Link.
Modified is set to yes.
Retail factor and Retail factor plus are set using the inventory category of the style.
Retail 1 price is computed as Reorder cost * Retail factor % + Retail factor plus, if the new price is higher than the existing price, it is updated. Otherwise the existing price is left.
If the vendor is Watters, then extra charges are automatically created for extra length, double extra length, and size up charges. The automatically created extra charges will have an @ at the start of the description. If these extra charges are edited directly, the changes will be lost if the styles are downloaded via Smart Link again.
