Event Form Extra Tab
Action: EVENT
Created at, on...The store ID that created this event, and the date/time is was created. These fields are filled in automatically by ProfitSystem.
Event number...A unique ID number assigned to this event. This number is assigned automatically by ProfitSystem®, and is your store ID followed by a sequence number.
Alternate event number...Contains the Jims assigned event number if orders for this event were sent to Jims.
Location...Where the event it being held. The church name, school name, etc.
Buttons
Add / Credit card button...Visible when the optional credit card integration is activated. Allows credit card information to be entered and saved along with this event when using the ProfitSystem credit card/electronic payment option. The customer card information is actually stored in the cloud which is a Visa/Mastercard security certified application. . A credit card can be swiped, or the account number and expiration date can be entered manually. This is typically done to keep a credit card on file for an event when members of this event are performing some form of rental. Many companies will charge the bride or groom for charges in case rental items are lost, unpaid late fees, etc. A user needs VIEWCARD security to be able to perform this function.
Store Credit Transfers button... When a member of an event has a store credit it may be automatically transferred to another member of the event from the payment form and used for a payment on their event sales ticket. This is handled from the Payment form when taking a payment on a member's ticket. When a payment is being taken for an event's member and that member does NOT have a store credit, the system will quickly scan the other member's looking for store credits. The system will identify the member with the largest store credit and provide a Store Credit tender button for that amount. When used for payment the system will auto transfer the amount of the payment (up to the full amount of the Store Credit) to the member applying it as payment. This transfer is logged for tracking and an event's transfer history may be reviewed from the Event's Event tab. All Store Credit transfer activity may be reviewed from Reports-> Daily Management Reports-> Store Credit Transfers.
Bridesmaid Section
The data entered within this section may be used as a bridesmaid template and as a SA reference.
This information may be auto merged into a eMail that is sent to the bride and/or bridesmaids to confirm details and to OK a order for each bridesmaid member. Emails may include links to a online image of the style and vendor online size charts as a confirmation to the bride that the correct item & color will be ordered when each attendant eventually orders.
Note
The image & size URL are entered within inventory for each style. The URL/Link can be data on any web page including your website or the manufacturers web site. Just find the correct picture & size chart of the style and copy it's web URL/Link and insert that into the correct stype within the ProfitSystem inventory item. eMails are created within the Letters/Tags/Label module and available data merge codes for HTML emails may be found in the eMail Merge Codes topic.
If the BM style field on this form is filled in, the style will be automatically added to any new ticket created for a event member with a bridesmaid role. On the member tab, select someone in the Bridesmaid role. On the action drop down, select New Ticket. A sale transaction is automatically added to the ticket, using the BM style and color specified. If the Price entered on the event does not match the retail selling price, and adjustment is added to the ticket as well to make the price match. The sale status is automatically set to Order.
Advanced Web-Form Event Registration
ProfitSystem provides online web forms with the marketing features to be used to register bridesmaids of an event and for each bridesmaid to submit their size and, optionally, payment information. All in a effort to speed bridesmaid party order creation, as well as to reduce errors. Please refer to the Event Self Register topic for information.
Fields
BM Style... This is the store style of the gown being sold to the attendants of the event. Once entered the Vendor name and Vendor style will automatically appear for reference and as a double check to insure the correct vendor style was entered. The style must be entered with the ProfitSystem Retail Inventory before it can be used in this field.
Mkdn...The markdown code to be added to the ticket.
Adj. amt... An adjust amount to be added to the ticket.
Price...If an adj. amt is entered, then the ticket price will be the current retail1 price with the adj. amt applied to it. If the adj. amt is blank, then the price entered here will be used for the ticket.
Color...The color(s) of the dress being sold each bridesmaid. Clicking this field brings up the color entry dialog
Deadline...The date the orders should be placed by each bridesmaid. This is for reference only.
Paid by... Notes as to who may be paying for the gown and any other useful information.
