Fittings Tickets

Fitting Tickets are created to hold the specific details of the Garment being altered, including Tasks, Seamstress and service charges.

Starting a Fitting for a Customer is simple. Fittings may be created for Customers who may had purchased the garment from the store or may not have. The process flow is:

Customer purchased garment from store

The User may visit the Receipt/Ticket where the garment was purchased and click the SALE transaction link next to the garment's sale transaction and on the Sales Edit form click the FITTING menu link. This will provide an option to the User to see of list of past Fitting tickets for the garment and/or to create a new Fitting ticket.

NOTE: Each time the garment must be re-altered a new fitting Ticket should be created to keep the task history organized.

Alternately, the User may go to Menu-> Fittings and click Create to create a new fitting ticket. Once the Fitting is created the User may select an existing Customer and Garment by entering the sales transaction id. This can be easily found on any of the Pickup Tag labels printed by the system which, by our recommendation, should be printed and attached to all garments being stored by the shop.

Charges for the Fitting will be automatically added to the receipt/ticket holding the SALE of the garment.

Customer DID NOT purchased garment from store

In this case, the User would visit the Fitting module and click Create to create a new fitting ticket. Once the Fitting is created the User will need to either select an existing Customer to link the fitting to or create a NEW customer which may be accomplished from the Fitting form.

Charges for the Fitting will cause a new Receipt/Ticket to be created for the Customer and fitting charges will be automatically added to the new receipt/ticket.

Flow

Once a Fitting ticket is is in place the User is required to enter the Next Fitting Date. This is the date the Tasks placed on this Fitting should be completed by. The Customer will return to store to try on the garment and/or take it satisfied with the job done.

Each Fitting ticket as a unique Fitting id that is created by the system. This will be printed on the the Fitting ticket or any label of custom fitting agreement to allow for fast retrieval by bar-code scanning of the Fitting from the fitting grid.

Each Fitting will be assigned a inventory service Style code. This code will be used by the system to insert the sum of the Task charges onto the a Receipt/Ticket of the linked Customer, when the Fitting Ticket status is changed to WORKING.

Subsequent changes to Tasks or Task Fees resulting in any change of price will be entered onto the Customer's Receipt/Ticket as an ADJUSTMENT transactions to the original Style holding the sum of the task fees when the fitting Status changed to WORKING.

NOTE: Inventory styles for Fittings will be created by a Store User and it's category, which holds tax selection, dictates the Sales/Vat Tax to use, if any. Shops use different styles for Fitting tickets for a variety of reasons. One strategy may be for the classification of the garment the Fitting is be done upon, or they could be created to represent Seamstresses for performance tracking and/or revenue generation.

Fitting Search Grid

The Fitting List grid serves two purposes.

  1. It allows a User to locate a Customer's Fitting by entering the Fitting ID, Customer or Seamstress name (or part) in the Search box which will filter the list to matches. In addition each column has filter options whereas additional filters may be set to limit the data within the grid. In above example the Next Fitting Date column is being filtered by a date
  2. It is also may be a printed report. Filter the grid to display the information you need, then click Print to have a report.

In addition the Fittings may be exported to a EXCEL sheet format for further analysis by clicking the EXCEL button.

Create Button ... Will create a new Fitting entry. Fittings may also be created from the the Sales transaction when the garment being altered was sold by the shop.

Fitting Ticket Details

Ticket Sale ID ... Fittings may be for garments purchased in store and when this is the situation, this is their ticket ID which indicates the specific garment.

Status ... Every Fitting as a Status indicating where it is in the cycle. This helps Users to know where in the process the garment is. The possible Statuses and their meaning are:

  • PENDING : The Fitting is created but no work has started.

  • WORKING : The Fitting tasks are being worked on

  • COMPLETED : All the tasks of the Fitting are complete
  • CANCELLED : The Fitting was cancelled, Customer changed mind.
  • Ticket Number ... The ticket number holding the charges/fees for the fitting tasks.

Ticket Total ... The total balance of the ticket/ledger holding the Fitting charge.

Event Name, Event Date, Vendor Style, Style Description, Size, Color 1, Color 2, Color 3 ... This data appears when the Fitting is for and linked to a garment sold within the store.

Fitting Details

Fitting ID ... Each Fitting created is assigned a unique Fitting ID

Created by ... The User that created the Fitting

Created Date ... The Date/Time the Fitting was created

Next Fitting Date ... Required and entered by the User when the Fitting is being created and is the date when the tasks on the Fitting should be completed and Customer can pickup or try on garment for additional alterations. If the garment requires additional alterations a new Fitting should be created and the current Fitting marked with a COMPLETED status. Use the Add Same Fitting menu option to create new Fitting. This allows the shop to see how many fittings the customer had for the garment.

Work Date ... This is the date/time the Fitting was changed to WORK status.

Completed Date ... This is Date/Time the Fitting was changed to COMPLETED status

Style for Fitting Fee ... This STYLE will be placed on a sales Ticket/Ledger to hold the Charges/Fees of the Fitting. These styles are Retail Inventory service styles and are created by the shop for use here. Like any other inventory item it can have it's own category. Examples could be Styles/Categories signifying Seamstresses or Styles could be established for the type of Garment being altered - both approaches are used for better sales analytics. These Fitting transactions will appear on Sales reports.

Fitting Description ... A description for the Fitting. When Fittings are for Garments NOT sold from the store, this is a good place to describe the garment.

Working status ... Changes Fitting status to WORKING

Complete Status ... Changes Fitting status to COMPLETE

Cancel Status ... Changes Fitting status to CANCELLED

Print/eMail ... The Fitting system has a built-in standard Fitting Ticket that prints on full size paper. It allows for Digital signature (requires touch screen) and for custom terms to be selected (created in Terms template) for printing. In addition, custom full size HTML Fitting Tickets or custom Tags/Labels may be created and printed as well.

Add Same Fitting ... Creates a new Fitting and copies Customer, Ticket and garment information to new ticket saving entry time.

Add Appointment ... Takes User to Appointment Schedule form and copies Customer information to a newly created appointment to save entry time.

Audit Trail ... Edits to Fittings after they are created & saved are automatically inserted into the Audit Trail. This link shows a history of the Fitting edits.

Image ... Displays the Image form which allows for up to Four images to be linked to the Fitting. Clicking CHOOSE FILE on a SmartPhone or Tablet allows the image to be captured from the device's camera. Otherwise it allows selecting a stored image on your computers file system. Fitting Tasks

Fitting tasks are the actual alteration jobs that will be performed on the garment. Add them to the Fitting to tell a seamstress the jobs that must be performed. Each can have a description, specific notes, a price and minutes to complete.

Prices will default to the price entered when the Task is created in the Task Form. This may be overwritten by the User. Minutes for each task is a option to keep track of hours worked on each.

Fees

The calculated Total Price of all tasks will be the charge automatically placed on the Customer's ticket/ledger under the Store Style entered in the Style for Fitting Fee field above. This occurs when the Status of the Fitting is changed from Pending to Working. Any subsequent changes to the Fitting that results in a Price change will be added to the Customer's ticket as an Adjustment to the original fee Style using the current date as the adjustment date.

Add Button... Creates a new Task row withing the Fitting Task section.

Delete Button .. Permanently deletes the Task row and reduces the price by the price of the Task removed.

Notes Button ... Allows for general notes to be typed in for that task. Prints on Fitting Ticket.
