By entering a small bit of iFrame code on a store's public facing web-site allows site visitor to request an appointment.

The system will always accept an Appointment Request for all suggested time slots via a website. These website appointment requests will be assigned a "Pending" status thus indicating the appointment is not committed & not securing the requested time slot, until a store user modifies the status to "Confirmed", which should be done only after qualifying the appointment request.

The technique used to insert the Appointment form on a shop website is called an iFrame. The iFrame code is found on this form and may be copied then inserted onto a page in the shop's website.

Processing Web Appointment Requests

Website appointment requests created from a website will appear on the Appointment Dashboard form below the Appointment Calendar within the Un-Processed Appointments list. This list automatically refreshes every 5 minutes or a User may manually refresh the grid by clicking the refresh icon in the bottom right corner of the grid.

Highlight the Web appointment and click the Edit button. This will allow for the information entered by the web visitor to be reviewed and a possible phone call to the customer to qualify (if necessary).

Once the shop user is satisfied that the appointment is good, a Room must be assigned & it's status changed to CONFIRMED, which automatically removes the appointment from the Un-Processed grid, sends a confirmation email to the email address on the Appointment Detail and commits the time slot to this customer's appointment. Once Confirmed the appointment will appear within the appointment calendar.

Fields

iFrame code ... The code to be inserted onto the shop's public facing website.

Height % ... The height of the appointment form. May be any value needed to look great on your website.

Width % ... The width of the appointment form. May be any value needed to look great on your website.

Generate Code button ... Will create new iFrame snippet code based on height & width entered.

Allow Appointments to be Overbooked (checkbox) ... By default this feature is disabled / unchecked and will allow appointment requests up to the maximum appointment time slots available. When no more slots are open the web appointment form will display a message to the site visitor: Please contact shop at 999-999-999 to book an appointment.

Conversely when enabled, the web form will accept any number of appointment requests. Some shops want to accept as many requests as possible and not turn away a potential client. They client could be placed on a waiting list or be contacted to arrange a different appointment time slot.

Appointment slots are not reserved/removed from availability until the Appointment Request is assigned a Room and status changed to CONFIRMED by staff within the shop.

Allow Automatic Appointment Confirmation (checkbox) ... This feature allows for an website entered appointment to be automatically confirmed by the customer and the time slot committed. When checked the User must choose an existing appointment email template that will be automatically sent to the Customer using the email address entered within the website's appointment request form. Before checking this box, please create an Email Template with a type of Appointment iFrame. The content of the email should be instructions to the Customer concerning the clicking of the link to automatically confirm their appointment. Be sure to include the merge code, "Click here to confirm your email and appointment."

When the customer books the appointment, they will be sent an email containing the selected email template. The Customer must click an Appointment Confirmation hyperlink within the the email within a 5 minute timeframe. Once clicked within the the 5 minutes, the time slot is committed in the first available Resource/Room and the Customer information submitted will appear for the appointment. The appointment status will automatically change to Confirmed and the Confirmed appointment email content will be sent to the Customer, as normal.

The appointment data is discarded and no time slot is used when the appointment confirmation link within the email is not clicked in the 5 minute timeframe.

Preview ... Displays how the Appointment Request form will appear.

The Appointment form is responsive, meaning it will automatically re-size itself to look good/correct on any size screen.

NOTE: When a site visitor submits an appointment request on the shop's website, by default a simple Success confirmation message will appear to the visitor. This confirmation message may be replaced with a web page of your design. To do so, enter the web page address (URL) in the custom appointment URL field found on the System Setup form.

Only the Appointment Types checked as Public will appear in this Web-Site appointment form. The web-site visitor will be prompted to select the appointment type they wish to schedule.

NOTE: The store may limit the number of weeks into the future that an appointment may be requested. This week limit is entered on the System setup form: Appointment Week Cut off and is the same for all stores within the chain.
